Watchlist

The Watchlist provides a list of Identities that are not permitted access to one or more Buildings within the organization. Watchlist is primarily a function used with GUEST; when a visitor is registered, GUEST will check the visitor against the names on the watchlist and, if a match is found, GUEST will not allow the visitor to check in. If configured, Security Manager Users will receive an email notification of the Watchlist match.

  • The Watchlist function requires the individual settings and configurations that the user requires to be set up prior to adding identities or utilizing the watchlist function. The fields that are required to be visible are selected and confirmed in the IDM > Configuration > Screen Configuration > Watch List. Please review the Screen Configuration section for more detail on this subject.

  • To add a new Identity to the Watchlist, click the New button on the top right of the IDM Watch List page.

  • If the Identity details are already in the IDM system, search for the Identity at the top of the screen to automatically populate the relevant watchlist fields.

  • The Watchlist Identity must also be assigned to at least one or more (or all) buildings.

  • Enter the required details for the suspect description (the fields can be added/edited in the screen configuration settings)

    The list below shows every description field

    • Name:

      • First Name (required)

      • Middle Name

      • Last Name (required)

      • Aliases

    • Basic Details:

      • Disguises

      • Gender

      • Company

      • Is Violent

      • Description

    • General Appearance:

      • Height

      • Weight

      • Hair Color

      • Eye Color

    • Distinguishing Features:

      • Scars or Marks

      • Tattoos

      • Piercings

    • Notifications:

      • Notification Emails (the email address that receives notifications from the watchlist function regarding the suspect)

      • Notification Identity Ids (the identities already in IDM that receive notifications from watchlist function regarding the suspect)

  • Click the Save button, then verify the suspect details.

  • The user can now edit the suspect details by clicking the Edit Suspect button, which returns the user to the screen in step 4. The user can also add a photo to the suspects details by click the Edit Photos button.

  • The user can add a picture (if connected to a web camera) or upload a photo of the suspect.

  • Upload the picture and click the Use this photo button. This action will save the uploaded picture to the suspect's details.

  • The suspect is then added to the watch list. From the watchlist screen the user can either delete or edit the details of the suspects.

The watch List can be be filtered by identity name (free text box) or by building that the watch list identity is associated with.

The watch List can be sorted via the sort function (either ascending or descending options can be chosen), the sort options are:

  • First (name)

  • Last (name)

  • Aliases

  • Company

  • Date of Birth

  • Ethnicity

  • Eye Color

  • Gender

  • Hair Color

  • Height

  • Is Violent

The watch List can be changed to display the identities by selecting one of the 3 types of view options. All 3 of these view options allow the user to choose between 10,25,50 or 100 entries per page, the numbers of pages are displayed at the bottom of the page and can be navigated by selecting forward, backwards or selecting exact page number. Each identity can also be edited from this page by clicking the Edit button, or deleted from the watch list by clicking the Delete button. A notification will be displayed to confirm the identity has been deleted.

  • List View: Displays the picture of the identity (if available), name of the identity and any aliases. In the format displayed below.

  • Grid View: Displays the picture of the identity (if available), name of the identity and any aliases. In the format displayed below.

  • Table View: Displays Name, Aliases, Company, Ethnicity, Eye Color, Gender, Hair Color, Height, Is Violent, Weight. In the format displayed below.

    The user can also download the Watch List into a .CSV file, by clicking the Download button. This will automatically download all the watch list (if filters are applied, only the data associated with the filtered identities will be downloaded) information and display the following information in a spreadsheet format:

    • Name

    • Aliases

    • Company

    • Date of Birth

    • Ethnicity

    • Eye Color

    • Gender

    • Hair Color

    • Height

    • Is Violent

    • Weight
