Description

The visitor report provides comprehensive visit details for specified visitors during the selected date period.

  • Select either a Relative or Absolute date for the report.

  • Select one or multiple Receptionists using the Receptionist type to search field.

  • Select one or multiple Visitors using the Visitors type to search field.

  • Select one or multiple Buildings using the Buildings drop down box or type to search box.

  • Select one or multiple visitor status using the Status drop down box.

  • Select one or multiple Visitor Types using the Visitor Types drop down box.

  • Select one or multiple Visitor Companies using the Visitor Companies drop down box.

  • Select one or multiple Access Control Rules using the Access Control Rules drop down box.

  • If the report is to be saved, apply a Name and Description for the report.

  • Click the Execute button to run the report or the Cancel button to exit the report.

  • The report will then be generated automatically and be exported to an Excel Spreadsheet file (Excel or an appropriate viewer is required to view the report).

Filter Requirements

Date Range

The user is able to select either an implicit or explicit date range.

The report will only return values within that range. The default value is Today.

Receptionists

The user is able to select one or more identities that hold the receptionist role

If selected, the report will only show data for these receptionists. If left blank, the report will show data for all receptionists.

Visitors

The user is able to select one or more visitors.

If visitors are selected the report will only show data for those specific visitors. If this field is left blank, the report will show data for all visitors.

Buildings

The user is able to select one or more Buildings.

If selected, the report will only show data for those Buildings. If this field is left blank, the report will show data for all Buildings.

Status

The user is able to select one or more status fields: Not Arrived, On Premises, Checked In, Awaiting Checkout, Checked Out, or Withdrawn.

If selected, the report will only show data for the selected status options. If left blank, the report will show data for all status options.

Visit Types

The user is able to select one or more Visitor Types to include in the report.

If selected, the report will only show data for the selected Visitor Types. If left blank, the report will show data for all Visitor Types.

Visitor Companies

The user is able to select one or more visitor companies

If selected, the report will only show data for those visitor companies. If left blank, the report will show data for all visitor companies.

Access Control Rules

The user is able to select one or more Access Control Rules for syncing the Visits to the Access Control System

If selected the report will only show data for those access control rules. If left blank, the report will show data for all access control rules.

First Name

The first name of the visitor.

Last Name

The last name of the visitor.

Company

The company the visitor is representing.

Email

Visitor's email address.

Mobile Phone

Visitor's mobile phone number.

Visit Type

The type of visit associated with the visitor.

Citizenships

The citizenship information entered for the visitor.

Current Status

The current status of the visitor (checked in, in building etc).

Explicit Access Groups

The explicit access groups assigned to the visitor at check-in.

Visit information

Date Visit was Scheduled

The date and time the visit was scheduled.

Scheduled Arrival Date

The date and time the visitor is scheduled to arrive.

Scheduled Departure Date

The date and time the visitor is scheduled to leave.

Check-In Date and Time

The date and time the visitor was checked in.

Check Out Date and Time

The date and time the visitor was checked out.

Building

The building the visit is scheduled to take place in.

Floor

The floor the visit is scheduled to take place on.

Location

The location the visit is scheduled to take place in

Lobby

The lobby the visitor should go to check in.

Host Information

First Name

The host’s first name.

Last Name

The host’s last name.

Building

The primary building of the host.

Company

The company the host represents.

Email

The host’s email address.

Mobile Phone

The host’s mobile phone number.

Host Delegate

First Name

The host delegate's first name.

Last Name

The host delegate's last name.

Building

The primary building of the host delegate.

Company

The company the host delegate represents.

Email

The host delegate's email address.

Mobile Phone

The host delegate's mobile phone number.

Visitor Escort

First Name

The visitor escort's first name.

Last Name

The visitor escort's last name.

Building

The primary building of the visitor escort.

Company

The company the visitor escort represents.

Email

The visitor escort's email address.

Mobile Phone

The visitor escort's mobile phone number.

Checked In By

First Name

The receptionist’s first name.

Last Name

The receptionist’s last name.

Building

The primary building of the receptionist.

Company

The company the receptionist represents.

Email

The receptionist’s email address.

Mobile Phone

The receptionist’s mobile phone number

Checked Out By

First Name

The receptionist’s first name.

Last Name

The receptionist’s last name.

Building

The primary building of the receptionist.

Other Visit Information

Title

The visit title.

Description

The description entered for the visit.

All Day Event

Yes or No based on if the visit has been flagged as an all day event.

Same Day Re-Entry

Yes or No based on if the visit allows same day re-entry.

Credential

The credential number associated with the visit.

Access Control Rule Name

The access control rule name associated with the visit.

Citizenship

The citizenship information entered in the IDM record for the Visitor.

Card Number

The card number entered for the visit.

Make

The make of the car associated with the visit.

Model

The model of the car associated with the visit.

Plate Number

The plate number of the car associated with the visit.

User-Defined Fields

Any other UDFs (User-defined fields) that are custom-created by the user
